The Hotel Association of Los Angeles (HALA) represents the voice of the region’s hotel industry, advancing policies that promote economic growth, resilience, and equity. We work closely with local, state, and federal leaders, community partners, and global hospitality brands to support our members, many of whom are deeply connected to the media, tourism, and entertainment sectors in Southern California.
Position Overview:
We are seeking a proactive, detail-oriented Executive Assistant to support HALA’s President & CEO in a highly dynamic, advocacy-driven environment. This position is 85% remote with periodic in-person responsibilities in the greater Los Angeles area. In addition to providing executive-level administrative support, the Executive Assistant will work closely with HALA's Board of Directors and play a key role in the coordination of HALA’s signature events.
Key Responsibilities:
Executive Support
• Manage complex calendars, schedule meetings, and coordinate travel logistics for the CEO
• Draft, edit, and organize executive correspondence, briefing materials, and presentations
• Track deadlines, manage special projects, and provide timely follow-up on action items
• Attend and take notes during high-level meetings with stakeholders, elected officials, and industry partners
Board & Event Support
• Coordinate logistics and prepare materials for HALA Board meetings
• Record and distribute accurate and timely meeting minutes
• Serve as point of contact for Board communications and scheduling
• Provide planning and on-site support for HALA signature events and initiatives
• Maintain organized digital records and historical documentation for meetings and events
Operations & Communications
• Serve as the first point of contact by phone and email; ensure timely, professional correspondence with members, partners, and the public
• Assist in recruiting new HALA hotel and vendor members through outreach, follow ups, and coordination with the executive team
• Manage digital files, communications templates, and internal coordination systems
• Support website updates, newsletters, and member communication campaigns
Preferred Qualifications:
• 3+ years of experience supporting executive leadership, preferably in nonprofit/association, or hospitality-related sectors
• Exceptional written and verbal communication skills
• Strong organizational and time management abilities; able to handle sensitive information with discretion
• Experience with board coordination or event planning a plus
• Proficiency in Microsoft Office Suite, Zoom and CRM tools
• Passion for hospitality, civic engagement, or the Los Angeles region is highly valued
Compensation:
Competitive salary commensurate with experience. This role is flexible and may be structured as part-time or full-time depending on the candidate's qualifications and availability. Expected salary range $55,000-$75,000.
